To ensure that every visit is properly organized and productive, all visits are arranged strictly by prior appointment and are subject to our visitation policy.

Invitation Letter for Business Visitation

For international visitors who require an official invitation letter to support a business visa application, RISING GmbH can issue an invitation letter after the applicant has successfully completed our visitation application process and met our internal requirements.

Invitation letters are issued exclusively for genuine business purposes, including:

  • Business meetings

  • Facility or warehouse inspections

  • Product inspections

  • Supplier verification

  • Contract negotiations

  • Long-term partnership discussions

Please note that submitting a request does not automatically guarantee approval. Each application is reviewed individually to ensure compliance with our internal policies and scheduling availability.

Visitation Requirements

To process your request, please submit the following documents and information:

Copy of Passport

A clear scanned copy of the passport (photo page) for every person intending to visit.

Visitor Information

Please provide the following details for each visitor:

  • Full Name

  • Company Name

  • Position/Title

  • Nationality

  • Residential Address

  • Telephone Number

  • Email Address

Visit Details

Please indicate:

  • Purpose of your visit

  • Expected arrival date

  • Expected departure date

  • Total duration of your stay

  • Number of visitors

  • Products or business areas you wish to inspect

Providing accurate information helps us prepare an appropriate schedule for your visit.

Processing Fee

To facilitate the preparation and coordination of your visit, a non-refundable processing fee of EUR 285 per visitor is required.

The processing fee covers:

  • Official business invitation letter

  • Visit administration and processing

  • Airport pickup arrangements

  • Hotel reservation assistance for the first night (reservation service only; accommodation terms will be specified separately if applicable)

  • Coordination of the inspection schedule

  • Visitor registration and security processing

The processing fee does not include:

  • Airfare

  • Visa fees charged by embassies or consulates

  • Personal travel insurance

  • Meals

  • Local transportation beyond the agreed services

  • Additional hotel nights

  • Personal expenses

Application Process

Step 1

Submit your visitation request by email together with all required documents.

Step 2

Our team reviews your application and verifies the submitted information.

Step 3

If your application is approved, a Proforma Invoice for the processing fee will be issued.

Step 4

After payment has been confirmed, preparation of your business invitation documents will begin.

Step 5

Within approximately three (3) business days after payment confirmation, the following documents will be prepared:

  • Official Invitation Letter

  • Facility Inspection Confirmation

  • Business Visit Schedule

These documents may then be used to support your visa application where applicable.

Important Information

Please note the following:

  • Visits are strictly by appointment.

  • Walk-in visits are not accepted.

  • Invitation letters are issued only after successful application review and payment confirmation.

  • Submission of an invitation letter does not guarantee visa approval, as visa decisions remain solely at the discretion of the relevant embassy or consulate.

  • RISING GmbH reserves the right to approve, postpone, or decline visitation requests where necessary.
